Cert III in RK - Induction & Business Efficiency

Hi team,

For those of you that were unable to join us here at Leigh St. on Tuesday, I hope that you've had a great start to your training and have had an opportunity to familiarise yourself with the course material.

It is unfortunate that classes this year will be held via correspondence so this means that we have to be creative in the way in which we share information.  With that in mind I plan to update this blog on a weekly basis to make sure that everyone is "on track".  I expect that these will usually be sent by the end of the week, on Fridays.  It is important to regularly check this blog for exciting info that I want to share with you all :)  From time to time I may send an email, but ultimately this will be my main way of communicating with you all.

Induction
This week in class we went through the "State Records Nationally Accredited Training, Course Handbook (V6)" in detail.  Please ensure that you have read it as it determines all of the rules, regulations and expectations of students.  

I would like to draw your attention to the following points:

  • Parchments will only be issued if all of the school fees are up to date and paid.  Make sure that all invoices are paid for promptly to avoid any disappointment,
  • Holidays will be during the C.C.C subject (16/04/13 and 23/04/13) and Access subject (16/07/13 and 23/07/13). There will be NO class attendance on these days.  This is your time to "recharge the batteries",
  • Assessment criteria (pg 17).  If you require an extension on any assignments don't wait until the due date.  Contact the trainer before the deadline so that an alternative date can be arranged.  Extensions WILL NOT BE GRANTED after the due date and will automatically graded as a fail,
  • When conducting research and using material to support your assignment please ensure that you include the reference in your bibliography.  An attachment showing how to write a bibliography and reference was attached in my initial email 
  • If you are unable to continue with your studies and need to withdraw please advise us in writing (email is acceptable, we will send a receipt of acknowledgement for you to use as confirmation of acceptance of your withdrawal) prior to the subject commencing.  Failure to do this will result in financial penalties,
  • Learning support is available for students who may have particular learning needs.  Just let us know so that we can support you better,
  • Student code of conduct (pg 23), and
  • If for any reason you wish to make a complaint please refer to the process on pg 24.
We also had a few visitors from TAFE SA and RIMPA (Records and Information Management Professional Australasia).

These two gentlemen work for TAFE SA.  For those of you studying Maintain workplace safety, Daniel will be your lecturer for the subject.  If you have any questions please don't hesitate to contact him.  Subject details will be available to students from 11 February so please look out for info from Daniel.  Chris is the Principal Lecturer & ensures quality control over the Certificate III qualification.

Paul Fechner was kind enough to inform us about the role of RIMPA.  For further info about RIMPA please check out their website here.  Throughout the year RIMPA holds information sessions & general meetings.  I encourage you to try to attend their get togethers as they are informative & a good way to network with like minded individuals.

Twitter
SRSA has a Twitter account and throughout the year we post numerous Tweets both of general interest and also of specific items of interest.  You can look us up and follow us on @StateRecordsSA and we can’t wait to see you on there.  If you aren’t already on Twitter you can join for free at www.twitter.com and follow other national & international archives.  Some interesting information can be found on Twitter & other social networking sites.  I encourage you to share any newsworthy RM articles that you may come across. 
  
Email contacts
I did not hear from anyone to say that they were uncomfortable with me sharing their email addresses.  To that end, I have included everyone on the list as part of our email contacts.  

I strongly encourage students to network outside of class and use each other as a resource.  This is your opportunity to build strong networks within the industry.  Remember to remain both professionally and personally courteous to your course mates at all times.  This means that SRSA does not tolerate misuse of this network to send or forward on any "junk/spam/chain" emails.  Please send only  "work/study" related emails.
  
Study Guide
Last week you would have received the study guide as an attachment.  All due dates of chapter reviews for Business Efficiency were listed in the course material email I sent out on Friday 25 January 2013.  Remember to attach your student declaration form with all submissions.  I am always interested to read the "Student's Comments" section.  This gives you a chance to provide feedback about your studies, the chapter, the assignment etc.  Not compulsory but it does help us to see if we are on the right track!

Note that State Records of South Australia are unable to return original assignments as we pass on selected samples of work to a 3rd party (TAFE) for audit purposes.  For this reason students are to please ensure that you make a copy of your submission, just in case.

Next week
We’ll get "stuck into" the foundation of customer service!  If you haven't done so already, please read through the lecture notes, answer the activities and start the chapter review.  This chapter review is not due until 12th February 2013, however don't leave it until then.  Pace yourself so that things don't begin to pile up in front of you.  Time management is the key!  

In the meantime if you happen to come across any newsworthy article either on the web, in the paper or magazine relating to records management or customer service then please include a comment to this post, or email it to me so that I may be able to post it to the blog. 

On a final note . . .
In the meantime why not introduce yourself to your fellow classmates by posting a comment below.  You may want to  include who you are, where you work & why you are wanting to undertake Certificate III in Recordkeeping.  Also please let us know what your goals are by studying Cert III.  I look forward to reading your comments.

    My name is Kelly Burrowes; after embarking a tour of the State Library of South Australia five years ago, I instantly fell in love and I dreamt of one day working there... Today I am thrilled to be living one of my dreams by being awarded a position at the State Library of South Australia.
    Every day we are faced with constant updates in technology, so I feel the need to grasp a better understanding of recordkeeping, which I hope will enable me to successfully assist my work colleagues in various challenges.

    I enjoyed the recent information session and I am looking forward to improving my recordkeeping skills, while forming new friendships in our study group.

    2. It's great that you really love your job. I really feel so lucky to have found my job with SA Health in the Communicable Disease Department too. The job is great, I mainly do data entry and answer the phones but I am also the only person in our section that is doing the Records Management. I have only been doing the records management for 6 months now and because I have never done it before I am really excited to be able to this course so I can learn how to do it properly. The people I work with are all so lovely and great to work with. I actually look forward to going to work.

    I think for me Paul's comments regarding networking were very relevant...It's a great opportuity not just to learn about products etc, but to share stories and not feel like you're all alone in this! Everybody is in the same boat! :)

    This is my first time using a blog but here goes. I have been granted some RPL so my study will be starting a little later in the year however I am looking forward to learning as much as I can and then implementing it back in the workplace.

    My name is Ellen Ross. I work at Shared Services SA (ICT Services). I have what I consider extensive experience in Records Management gained through several positions in government throughout my working career. I would like to have a qualification to back this up, hence my reason for studying this course.

  5. Hello everyone. Maryann from Mitcham Council here. I was an Executive Assistant for too many years and I thought wouldn’t it be nice to just spend your day filing paperwork. Well I took the leap into Records Management 18 months ago and discovered there is so much more to it and now I am keen to learn everything I can and have a nice piece of paper as well that tells people that yes I do know what I’m talking about!! Look forward to working with you all this year :) - Maryann C

    My name is Rhiannon Hope, and I currently work as an Admin Officer at SafeWork SA in our Industrial Relations team where I work with both State and Federal case files. I have always had a keen interest in Records Management and thought this course would be a great opportunity for me to further develop my skills, gain a greater understanding of the fundamentals of records management and possibly open up a future career path into Records Management. I'm looking forward to working and networking with all of you throughout the year.

    My names Kathy and I am from Alexandrina Council and work as an Information Management Officer. I was filling in for the role for quite some time and have only had on the job training. As of December 2012 I have secured a permanent position and the next step was to get some qualifications, so here I am. Looking forward to expanding I what I've learnt so far and gaining a better knowledge of record keeping.

  8. Hello everyone! I think I have finally worked out how this blog works. I am a bit slow, I know.
    I got my job with SA Health, Communicable Disease Branch almost a year ago. I do admin work, mainly answer the phones and direct people to the appropriate area of the branch. About 6 months ago I was also given the job of looking after the Records Management for our area. I have never done this before! So I am really hoping that I learn everything I need to know to do the job properly.
    Anyway, good luck everyone!
